What this policy covers

This policy describes what personal information BV CHART TOV processes when you use the website at bvchart.live, when you send a quote request through the contact form, and when you subsequently correspond with us about an open file. It applies to the bvchart.live website and to any direct email exchange with the desk.

What we collect through the quote-request form

The quote-request form on the Contact page accepts the following fields: your name, company, origin city, destination city, cargo type, contact email or phone, and a free-text notes field that you fill in yourself. We collect only what you choose to type into those fields. The form does not pre-fill, does not embed third-party widgets, and does not write anything to a remote server when you click the submit button — the message is held in the page and you are asked to email desk@bvchart.live with the same details to actually open a file.

What we collect through email correspondence

Once you email the desk, we receive whatever you put in the email: the same kind of information as above (name, company, lane, cargo, contact details) plus anything you attach. We use that information to prepare a quote, to coordinate dock and carrier arrangements if you ask us to open a file, and to keep a record of the engagement for contract-administration and tax purposes.

Why we process this information

We process the information you send us for three reasons:

1. To provide a shipping quote. The lane, the cargo and a contact channel are the minimum we need to prepare a quote. Without that information we cannot answer your request.

2. To carry out the contract you have asked us to enter into. If you accept a quote and we open a file, we continue to use the same information to coordinate the work with our dock crews and contracted carriers and to keep you updated on dispatch and delivery.

3. To meet our record-keeping obligations. Ukrainian tax and contract law requires us to keep a record of commercial correspondence and of the files we have worked on. That record is kept on file for the period required by law.

Cookies and analytics

The bvchart.live website does not run third-party analytics, does not embed advertising scripts and does not set tracking cookies. The only state the site keeps in your browser is the small amount of standard memory used to remember whether the mobile menu is open on pages that have it. That is held in the page and is gone when you close the tab.

Who we share it with

We share the information you send us with the people who need it to do the work: the dock crew who will load or unload the cargo, the contracted carrier who will move it, and the consignee whose details you provide. We do not sell contact lists, we do not pass details to marketing intermediaries, and we do not transfer your information outside Ukraine other than to a consignee or carrier you have already named in the file.

How long we keep it

Quote requests that do not lead to an open file are kept for up to twelve months in case you come back to us. Files that have been opened — together with the related correspondence and proof-of-delivery records — are kept for the period required by Ukrainian tax and contract law, which is presently three calendar years from the close of the file.

Your rights

You can ask us, by emailing desk@bvchart.live, to tell you what information about you we hold, to correct anything that is wrong, or to delete records that we are no longer required to keep. We will reply within thirty days. If you believe that we are not handling your information properly, you can also raise the matter with the Ukrainian Parliament Commissioner for Human Rights.

Changes to this policy

We update this policy when the way we handle information changes. The current version is always at this URL. The date at the top of the page shows when the policy was last changed.
